    Main features

    1. Log in to the platform: enter our video inspection platform with your user credentials.
    2. Create a new case file: in the left-hand side panel, click "Expedientes" (Case files) and choose "Nuevo expediente" (New case file).

    1. Enter the policyholder's details: a screen will open where you complete a few basic details about the policyholder. Once filled in, press "Nuevo expediente" (New case file).

    Existing case files

    If the phone number you enter matches a policyholder you have already carried out a video inspection with, the system will offer you the option to open the previous case file or carry on creating a new one.

    1. The link is sent to the policyholder automatically: the system automatically sends an SMS or WhatsApp message to the policyholder with a link to join the remote session.

    How the policyholder joins:

    The policyholder only has to click the link they receive and can join from the browser of their choice, with no app to install.

    Before the video call starts, they are asked to accept the privacy policy and the terms of use. Once they press "Accept", they are connected directly to the loss adjuster.

    During a video inspection you will often need to record images or videos to document the details of the claim. In Ollo you can do this very easily.

    • On the left of the screen you will see the video the policyholder is streaming.
    • At the top right you will find a camera icon.
    • Click it to take images from the live video.
    • The images are saved automatically in the corresponding case file, where you can review them, edit them, add notes and delete any that are not useful.

    Important information

    Every photograph taken during the video inspection automatically carries the date and the location (GPS coordinates) where it was captured stamped onto it, which guarantees the traceability and authenticity of each image.

    When you take a photograph or record a video during the video inspection, it is important to make sure it has the necessary quality and clearly shows the details of the claim.

    Reviewing during the video inspection

    • On the right of the screen you will find the "Galería" (Gallery) tab.
    • Click the magnifying glass to enlarge the image and look at it in detail.
    • If the result is good, close it to keep it.
    • If it is not good enough, you can take another image.

    Reviewing after the video inspection

    If you need to look at the files again later, open the case file. In the "Capturas" (Captures) tab you can:

    • Enlarge the images.
    • Download the files to your computer.
    • Select several images and download them as a compressed ZIP file.
    • Delete any images you do not consider relevant.

    Recommendation

    At Ollo we advise capturing as much detail as possible during the inspection. You can decide later what to keep or delete, but it is better to have enough material for a complete and accurate assessment.

    We know how important it is to keep a detailed record of every job. In Ollo, all your video inspections are archived so you can access them whenever you need to.

    1. On the main page, on the left of the screen, you will find a section called "Expedientes" (Case files). Click there and you will see the list of video inspections carried out.
    2. You can scroll through the list to find the specific record you are looking for, or use the search box to find it by name.
    3. Once you have found the case file you want, click the "Detalles" (Details) button on the right of the screen. This gives you access to the full record and to everything captured during the video inspection.

    During the video inspection, Ollo lets you access official land registry information from within the platform, making it easier to check property data without going to external sources.

    • During the session you can view a map with the policyholder's location.
    • From the map you have access to the land registry lookup.
    • You can download the property's official land registry information directly from the platform.
    • This includes relevant data such as the land registry reference, floor area, property use and other official details.

    Benefit

    This integration speeds up the inspection by giving immediate access to verified official information, reducing the time needed to complete the case file.

    An unattended video inspection is a certified digital inspection carried out without the loss adjuster taking part live. The policyholder runs the process on their own, guiding the inspection and capturing the images needed.

    How does it work?

    1. The system automatically sends an SMS or WhatsApp message to the policyholder's phone with a secure access link.
    2. The policyholder opens the link on their mobile device, with no app to install.
    3. Once connected, the policyholder runs the process on their own, taking the photographs and adding the notes they consider necessary.
    4. All the information captured is recorded and certified in the corresponding case file.

    Benefit

    This option gives the policyholder more flexibility over timing and speeds up the inspection in cases where a loss adjuster does not need to supervise directly, making better use of the insurer's resources.

    Ollo lets you schedule video inspections for a specific date and time, making it easier to coordinate the loss adjuster and the policyholder.

    How to schedule a video call

    1. Open the policyholder's case file and choose the option to schedule a video call.
    2. Choose the date and time that suits both parties best.
    3. The system automatically sends an SMS or WhatsApp message to the policyholder with the details: date, time and access link.
    4. You can optionally set an automatic reminder, sent to the policyholder through the same channel at the time you choose.

    Recommendation

    Schedule reminders far enough in advance (24 hours before, for example) to make sure the policyholder is ready and available at the agreed time, which cuts no-shows and makes the process more efficient.

    1. A device with a stable internet connection: a computer, a tablet or a mobile phone.
    2. A camera and a microphone: your device must have a working camera and microphone.
    3. A compatible web browser: such as Google Chrome, Mozilla Firefox, Safari or Opera.
    4. Access to your Ollo account: make sure you have your login credentials.

    Frequently asked questions

    Ollo works with any operating system able to run the main browsers on the market, such as Google Chrome, Mozilla Firefox, Safari and Opera.

    Our platform works with a wide range of mobile and desktop devices, including mobile phones, tablets and computers that have a camera and a microphone and can establish a stable internet connection.

    • Make sure the area being filmed is well lit.
    • Check that the camera is properly focused on the object of interest.
    • Set the device's video resolution to high quality, or follow the manufacturer's recommendations.
    • Avoid obstructions that could make it harder to assess important details.

    • Check that your internet connection is stable.
    • Make sure your device, camera and microphone are working properly.
    • If they are not, consider using another device.
    • If you need further help, get in touch with us.

    If the connection is interrupted during the video inspection, the data collected up to that point is saved in the case file. You can either wait for the connection to come back or end the video inspection and resume it from the same case file once the connection is stable again.

    Ollo Digital complies with the GDPR, encrypts all communications end to end and stores the recordings, with time stamping, on servers located in Europe. Data is handled in full confidence.

    Troubleshooting

    If the policyholder's device does not show the geolocation, the system cannot continue with the video inspection. In that case we recommend:

    • Ask the policyholder to turn on location permissions on their device.
    • Check the internet connection.
    • Make sure the device software is up to date, both the operating system and the apps.
    • Restart the device and connect again.
    • If the problem continues, do get in touch with us.

    If nothing happens when you click the link sent for the video call, we suggest:

    • Ask the policyholder to check their device's privacy settings and allow the link to open.
    • Make sure the default browser is compatible.
    • Check the internet connection. An unstable connection can stop the link from opening properly.

    The link stops working once the loss adjuster ends the video inspection. If you want to connect again, you can send a new link from the corresponding case file. Inside the case file, click "Relanzar videollamada" (Relaunch video call). A new link will be sent to the policyholder so the process can continue.

    If the browser shows an error saying permissions have not been granted, here are some possible solutions:

    • Check the browser permissions. In the privacy settings, make sure camera and microphone permissions are enabled for the platform.
    • Check that the browser's security settings allow access to these devices.
    • Update the browser to avoid compatibility problems.
    • Check whether browser extensions are interfering with the platform.
    • If the problem continues, try a different browser.
